Trade questions answered
Frequently Asked Questions
Minimum order quantities, certification, sampling, production lead times, payment terms and shipping — answered by our trade desk.
Ordering
What is your minimum order quantity (MOQ)?
Stock designs start at 20 pieces per design, with mixed-design lots accepted from 50 pieces. Custom designs start from 30 pieces per style in 925 sterling silver and 10 pieces in 14K or 18K gold. Trial orders below these levels are accepted at list price with a small setup charge that is credited against your first volume order.
Can I order a sample before placing a bulk order?
Yes. Single samples ship at list price so you can inspect the stone, setting, polish and packing before committing. The sample cost is credited against your first bulk order above 200 pieces.
How quickly do you reply to inquiries?
Our trade desk replies within 12 working hours, Monday to Saturday, in English. Quotations involving CAD development or calibrated stone parcels may take up to 24 hours.
Can I place a trial order smaller than your MOQ?
Yes, at list price with a small setup charge that is credited against your first volume order. A 50–100 piece trial across several designs is the normal way buyers test grading consistency and packing quality before committing to a season. Write "trial order" in your enquiry and we will quote it on that basis.
How do I know which designs are in stock?
Ask for the current stock list. It is a spreadsheet of designed SKUs with available quantities, stone and metal specification, unit price at each tier, and the photography file names. It is regenerated weekly, so the quantities reflect what is genuinely on the shelf rather than what is theoretically producible.
Can I request a specific SKU I saw on your website?
Yes — quote the SKU in your enquiry. Almost every product page shows the SKU, and quoting it removes any ambiguity about which stone, shape, carat and metal combination you mean. If the exact SKU is out of stock we will tell you the closest production-equivalent and the lead time for the original.
Do you work with new buyers with no import history?
Yes. Plenty of our accounts started with a single trial order. For a first shipment we usually recommend Alibaba Trade Assurance, which holds the payment until delivery is confirmed. After two or three shipments, normal terms can be negotiated.
Pricing & MOQ
How does your wholesale price ladder work?
List price applies from 20 to 49 pieces. Orders of 50 to 199 pieces receive approximately 13% off list, 200 to 999 pieces approximately 26% off, and orders above 1,000 pieces are quoted individually with reserved capacity.
What payment terms do you accept?
Standard terms are 30% deposit with the balance before shipment, settled by T/T, PayPal or Western Union. Alibaba Trade Assurance is available for first orders, and scheduled annual programs can be negotiated on 30 to 60 day terms after the first three shipments.
Why does your price change between quotations for the same product?
Three things move a quotation: metal price, stone grade and quantity. Metal is the most volatile, and on gold lines we hold a quoted price for 15 days because gold can move several percent in a month. Stone grade moves the price when you change colour or clarity by a step, which is often 15% to 25% of unit cost. Quantity sets the production tier, so the same design quoted at 20 pieces and at 200 pieces is legitimately two different prices. If a quotation changes for none of those reasons, ask why in writing.
Can I get a price list for your whole catalogue?
We publish indicative per-piece pricing at the entry quantity on every product page, and we will send a stock list with tier pricing on request. What we do not send is a single flat price list, because price depends on metal, stone grade, plating and quantity, and a flat list would be misleading for most lines. The practical approach is to send us your target specification and quantity for the designs you want, and we return a costed quotation with stone, metal, labour and packing broken out separately. That breakdown is what you can actually negotiate against.
What are your quantity discounts, and at what volumes do they apply?
Tier pricing applies at three published thresholds. List price applies from 20 to 49 pieces. Orders of 50 to 199 pieces receive approximately 8% off list. Orders of 200 to 499 pieces receive approximately 14%, and 500 or more pieces approximately 20%. Above roughly 1,000 pieces we quote individually and can reserve production capacity against a written annual forecast. The tiers exist because setup, mould, colour-matching and plating-batch costs are fixed per order and amortise as quantity rises.
Is certification included in the unit price?
No. Certification is quoted separately because it is charged per stone and its cost does not amortise with quantity. GRA grading on moissanite above 0.50 ct, and IGI or GIA grading on lab grown diamonds above 0.30 ct, are the two common cases. Below those sizes per-stone grading costs more than the stone is worth, so we issue an internal parcel grading sheet instead, stating size range, colour band, clarity band, piece count and total carat weight. If certification is essential on melee for your market, tell us at the quotation stage.
How is the unit price calculated?
Price is stone plus metal plus labour plus plating plus packing. Stone cost depends on material, size, colour and clarity; metal cost depends on karat and weight; labour depends on the setting method. We quote metal weight per piece so you can see where the cost sits rather than accepting a single opaque number.
Can you match a competitor quote?
Send us the quote and the specification behind it. In most cases the difference is a specification difference rather than a margin difference — a different clarity grade, a lighter metal weight, or a hollow rather than solid setting. We will tell you honestly which line we can match and which we cannot, and what the trade-off would be.
Do prices include shipping and duty?
No. The quoted unit price is ex-works Wuzhou. Freight and import duty are charged separately and depend on destination, weight and declared value. We can quote freight on your behalf and arrange DDP terms for selected markets on request.
How long do you hold a quoted price?
Gold and silver quotes are held for 15 days because metal prices move. Moissanite and lab grown gemstone pricing is held for 30 days. For scheduled annual programmes we can lock a price for a fixed volume with reserved capacity.
Is there a discount for a full container or annual contract?
Yes. Above 500 pieces per line we quote individually, and an annual written forecast lets us reserve production capacity and set a price valid for the season. Discounts at that level are negotiated against the forecast rather than the first order.
Products & Materials
Are your stones certified?
Stones above 0.30 ct can be graded by IGI, GRA or GIA and shipped with a certificate matched stone to stone, including photographs and measurement reports. Melee parcels ship with an internal grading sheet because per-stone certification is not economic below that size.
What is the difference between your moissanite and lab grown diamond lines?
Both are laboratory-grown. Moissanite has higher dispersion, so it shows more rainbow fire and costs considerably less, which makes it ideal for volume bridal and fashion lines. Lab grown diamond is chemically identical to mined diamond and carries the ticket size in premium bridal ranges.
Can you switch the metal or stone on any design?
Yes. Any catalogued design can be produced in 925 sterling silver, 10K, 14K or 18K gold, in yellow, white or rose, and the centre stone can be moissanite, lab grown diamond or a lab grown gemstone. Metal changes may adjust the MOQ because plating and alloy runs are batched per order.
Are your images of the actual product?
Yes. Photography is shot on our own production line from the actual pieces, not rendered from CAD. When you order we photograph your parcel against your PO number before dispatch, so you can compare it with the catalogue image and with the approved sample.
What is the difference between CVD and HPHT lab grown diamonds?
Both are chemically identical to mined diamond. CVD grows carbon onto a seed plate over 3–6 weeks and often suits larger stones; HPHT crystallises carbon from a molten flux in 1–3 weeks and is common in melee. Colour and clarity distributions differ, so the method is stated on the specification sheet and on the certificate.
Can you supply calibrated parcels sorted to a tolerance?
Yes. Melee is sorted to ±0.1 mm and larger singles to ±0.15 mm by default. If your setting line needs a tighter tolerance, state it in the enquiry — it affects sorting time but not the price per stone materially.
Do you supply matched pairs for earrings?
Yes, and this is one of the most common requests. Matched pairs are graded together for colour, clarity and measurement, and shipped in the same parcel with a note identifying the pair so your setter does not have to re-match them.
What plating thickness do you use?
Standard is 0.5–1.0 micron of rhodium over silver, and 1.0–2.0 micron of 18K gold plating over gold or silver. Thicker plating is available on request. Plating thickness is the single most common cause of tarnish complaints, so we put it in writing on the approval sheet.
Can you supply nickel-free metals?
Yes. White gold can be alloyed with palladium instead of nickel, and we provide a written alloy declaration for EU-facing lines where nickel release is regulated. Specify the destination market in your enquiry so the right alloy is used from the start.
Shipping & Customs
How do you ship and how long does delivery take?
We ship insured by DHL, FedEx, UPS or EMS with door-to-door tracking. Express delivery typically takes 3 to 7 days to Europe and North America, 5 to 10 days to other regions, and 7 to 14 days for larger air freight consignments cleared through your broker.
What documents do you provide for customs?
Every parcel ships with a commercial invoice, packing list, certificate copies and a material declaration stating that the stones are laboratory-grown. Certificate of origin and assay documentation are available on request. Documents are prepared before dispatch so clearance is not delayed.
Do you handle duty and taxes?
Duty and import taxes are the buyer responsibility and are calculated on the declared value plus freight and insurance. We can ship on DDP terms to selected markets on request, and can advise on the HS codes typically used for jewellery and synthetic stones in your destination.
Which shipping services do you use, and who insures the shipment?
We ship by DHL, FedEx, UPS or EMS depending on destination, value and urgency, always insured at full invoice value. Transit is typically 3 to 7 days to Europe and North America by express, and 5 to 10 days to other regions. We photograph every carton and record its weight before sealing, and those photographs are the reference for any transit damage claim. Shipping cost is quoted separately from the goods, and we will consolidate two orders into one shipment on request to save a freight charge and a customs entry.
What documents accompany each shipment?
Every export parcel ships with a commercial invoice, packing list, certificate copies matched to the stones in the parcel, and a material declaration stating that the stones are laboratory-grown rather than mined. On request we add a certificate of origin, alloy and nickel-release declarations for EU-bound orders, and assay documentation for gold. We prepare this pack before dispatch rather than on request after arrival, because an incomplete document set is the most common cause of a customs hold in this category.
Who is responsible for duty and import taxes?
Duty and import taxes are the buyer responsibility and are calculated on the customs value, which is goods plus international freight plus insurance, not the goods value alone. Import VAT or GST is typically recoverable for registered businesses. We can advise on the HS headings usually used for your product type and destination, but classification is destination-specific and changes, so always confirm the final code with your own customs broker before the first shipment. On request we can quote DDP terms for selected markets.
Can you ship samples and small trial orders?
Yes. Single samples ship at list price so you can inspect the stone, setting, plating and packing before committing to volume, and the sample cost is credited against your first bulk order above 200 pieces. Trial orders below the standard MOQ are accepted at list price with a small setup charge, also credited against the first volume order. For samples we normally use express service, because the value-to-weight ratio makes economy services poor value on small parcels.
Which carrier do you use and why?
DHL and FedEx for most express parcels because their jewellery handling and insurance terms are the most predictable. UPS for mid-size insured shipments, and EMS for low-value sample parcels where speed matters less than cost. Air freight with your own broker is used above roughly 50 kg.
Do you consolidate multiple orders into one shipment?
Yes, and it usually saves money. If you have two or three orders in production at the same time, tell us and we will schedule them into a single parcel with one invoice and one freight charge. This is standard practice for accounts that replenish monthly.
What HS codes do you use?
Imitation jewellery is generally 7117, silver jewellery 7113.11, gold jewellery 7113.19, and synthetic or reconstructed stones 7104.90. Classification is destination-specific and changes, so we state the codes we use on the invoice and recommend you confirm the final code with your customs broker before importing.
Will you under-declare the value to reduce duty?
No. Under-declaring exposes your importer record to revaluation, seizure and future scrutiny, and the saving is far smaller than the risk. We declare the true transaction value and keep the invoice consistent with the payment record.
Do you ship to Amazon or 3PL warehouses?
Yes. Provide the warehouse address, your FBA or 3PL shipment ID, and any labelling requirements (FNSKU labels, carton labels, pallet dimensions). We can apply your labels during packing so the shipment is warehouse-ready on arrival.
Custom & OEM
Can you produce my own designs?
Yes. Send sketches, CAD files, technical drawings or even a competitor sample. Our design team returns 3D renders in 3 to 5 working days and physical samples in 10 to 14 days, after which bulk production begins on an approved specification.
Do you offer private-label packaging?
Yes. We produce branded boxes, pouches, jewellery tags, care cards and certificate sleeves. Printing runs have their own minimum order, typically 200 to 500 units per item, so packaging customisation is usually combined with a volume order.
Can you laser engrave a logo or message?
Yes. Laser engraving is available on rings, pendants, bracelets and clasps. Provide vector artwork or a high-resolution image and we will send an engraving proof for approval before production.
How many design revisions are included in a custom project?
Two CAD revision rounds are included. In practice round one covers proportions, prong style and shank thickness, which are parametric changes at CAD stage and usually free. Round two covers stone size, setting height and gallery detail, which may require a new mould drawing. A fundamental redesign after a second round is quoted as a new development, because the mould work already done cannot be reused. Telling us the retail price point and the exact stone specification at brief stage is the most reliable way to avoid needing a third round.
Can you produce a design from a competitor sample I send you?
We can produce a design based on a physical sample you own, with two caveats. First, we will not reproduce a third party protected design. If a design is clearly a registered or well-known proprietary piece, we will decline or propose a variation. Second, we ask you to send the sample rather than a photograph where possible, because setting height, gallery construction and shank profile cannot be read reliably from an image, and those three things determine whether the finished piece matches what you expected.
Do I own the design if I pay for the CAD and mould?
Yes, for the design you commissioned. We will produce it for you and not resell that design to other accounts within an agreed exclusivity period and territory, typically 12 to 24 months. Tell us at the quotation stage that you want exclusivity, because it is a term we agree in writing on the order and it is much harder to apply retroactively. For generic stock designs that we own and sell to many accounts, exclusivity is not available, but a modified version developed specifically for you can be.
Can you match my existing packaging, or does it have to be yours?
We can produce to your specification, covering dimensions, board weight, finish, foil colour and logo, and we can also supply plain unbranded packaging if you prefer to add your own. Printed packaging has its own production lead time of 10 to 20 working days and its own minimum order, typically 500 to 1,000 units per item. Order it in parallel with your product development rather than after approval, or your finished goods will sit waiting for boxes. Send vector artwork and a Pantone reference rather than a colour name.
What files do you need to quote a custom design?
A sketch, a reference photograph, a CAD file (STL, 3DM or STEP preferred), or a physical sample. If you only have a photograph we can work from it, but expect a short discussion about stone size and metal weight because those cannot be read from an image.
How long does the sample and mould process take?
CAD renders are returned in 3–5 working days. Once you approve the render, a physical sample is cast, set and polished in 10–14 days. Mould making adds 3–5 days for a new design. Bulk production then runs 10–20 days depending on quantity.
Is the mould exclusive to me?
Yes, for designs developed from your brief, and we do not sell that design to other accounts while you are ordering it. If you want a permanent exclusive on a design, that is a contractual arrangement we can put in writing against an annual volume commitment.
Can you put my logo on the jewellery and the packaging?
Yes. Laser engraving is available on rings, pendants, bracelets and clasps; send vector artwork or a high-resolution image and we will send an engraving proof before production. Branded boxes, pouches, tags, care cards and certificate sleeves are printed to order, with their own minimum run of 200–500 units per item.
Can you develop a whole collection rather than a single design?
Yes, and it is usually better value than piecemeal development because a collection shares moulds, plating batches and packaging runs. Send a mood board or a competitor range you want to position against, plus your target retail prices, and we will propose a structure covering entry, core and premium price points.
Payment & Returns
What is your return policy?
Stock items carry a 30-day return window from delivery, provided they are unworn and in original packaging. Custom and engraved pieces are non-returnable unless they fail to match the approved sample, in which case we repair, replace or credit them in full.
What happens if the goods do not match the sample?
Send photographs and the SKU list within 14 days of delivery. If the deviation exceeds the tolerances written on your approval sheet, we remake the affected pieces or issue a credit. This is covered by our written quality guarantee and applies to every order.
What payment methods do you accept?
T/T bank transfer is standard, with 30% deposit and the balance before shipment. We also accept PayPal and card for trial orders, though transaction fees of 2% to 4% apply and these are normally used only below about 1,500 USD. Western Union is accepted where bank transfer is impractical, but it carries no chargeback protection, so we do not recommend it for large amounts. For orders above roughly 50,000 USD, a letter of credit at sight or 30 to 60 days is available. Escrow through a trading platform is available for first orders.
How do I earn credit terms?
Credit terms follow a documented history rather than negotiation. The progression is: a first order on escrow or 30/70; the second and third on 30/70 with on-time payments; from roughly the fourth clean shipment we will consider 40/60 or a 30-day term on part of the order; and after twelve months with a written annual volume forecast, a 30 to 60 day open account is possible, sometimes with credit insurance. What earns terms fastest is a written forecast the factory can plan production against, because it converts your order pattern from unpredictable to schedulable.
What is your return policy on wholesale orders?
Stock items carry a 30-day return window from delivery, provided they are unworn and in original packaging, with freight at the buyer cost. Custom, engraved and made-to-order pieces are non-returnable unless they fail to match the approved sample, in which case we remake, credit or refund them in full. For a return of any kind, contact us first for a return authorisation, because unannounced returns are difficult to process and slow the credit. Normal trade variation within the stated tolerances is not a returnable defect.
Can I cancel an order after paying the deposit?
Yes, with the deduction depending on how far production has progressed. Before CAD or mould work begins, the deposit is refunded in full less any bank charges. After CAD but before the mould, the CAD cost is deducted and the balance refunded. After the mould is cut but before production, mould and material cost are deducted. Once bulk production has begun the deposit is not refundable, though finished and part-finished goods can be shipped against the balance. These stages are stated in our wholesale terms and in the proforma invoice.
Which payment methods do you accept?
T/T bank transfer (most common for volume orders), PayPal (smaller orders and samples), Western Union, and Alibaba Trade Assurance for first orders. Bank charges are shared: we cover the sending side, you cover any receiving charges.
Can I get credit terms?
Yes, after a track record. New accounts are 30% deposit with the balance before shipment. After three completed shipments, 30–60 day terms can be negotiated for scheduled programmes with a written annual forecast.
What happens if I want to cancel after production starts?
Once stones are cut and set, the order cannot be cancelled because the materials are specific to your specification. Before production starts you can cancel without charge, and after CAD approval but before casting only the sample and mould cost applies. This is why we insist on the approval sheet: it is the point after which costs become real.
Are custom and engraved pieces returnable?
No, unless they fall outside the tolerances on the approved specification sheet, in which case we remake or credit them. Stock items are returnable within 30 days provided they are unworn and in original packaging.
Who pays for return shipping?
If the return is due to a defect or a deviation from the approved specification, we cover return freight and the replacement. If it is a change of mind on a stock item, the buyer covers return freight. Either way, tell us before shipping anything back so we can issue an RMA reference and route it correctly.
Quality & Inspection
What tolerance counts as a defect versus normal variation?
Normal trade variation is plus or minus one colour grade and one clarity grade against your approved master sample, plus or minus 5% on piece weight, and 0.2 mm on band width and thickness. Anything beyond those limits is a deviation we remedy. This distinction matters because it is the difference between a measurable claim and an argument, so we write the tolerances onto the approval sheet for every order and keep a master sample on file under your account reference.
What happens if the goods do not match the approved sample?
Send photographs with the SKU label visible and the list of affected pieces within 14 days of delivery. We acknowledge in writing with a proposed remedy within two working days. If the deviation exceeds the tolerances on your approval sheet, we remake the affected pieces at our cost with priority scheduling and pay the freight, or issue a credit against your next order, or refund where a remake is not commercially sensible. This is the process described in our quality guarantee and it applies to every order regardless of size.
Do you use recycled or certified metals?
We purchase precious metals through licensed domestic suppliers with assay documentation, and alloy composition is controlled and declared per order. We can provide alloy and nickel-release declarations on request for EU-bound orders. We do not currently hold a certified recycled metal chain-of-custody certificate and we will not claim recycled content we cannot evidence. If recycled metal is a requirement for your market, tell us at the quotation stage so we can confirm what documentation is achievable before you commit to the order.
Can I inspect the goods before they ship?
Yes. We send photographs of the finished pieces against your PO number, together with the packing list, before dispatch. For larger orders you are welcome to send an inspector, or to appoint a third-party inspection service — we will prepare the goods and the documents for them.
What tolerances do you work to?
Standard tolerances are ±1 grade on colour and clarity against the approved master sample, ±5% on metal weight per piece, and ±0.15 mm on stone measurement. Tighter tolerances can be agreed in writing, though they may affect yield and therefore price.
How do you handle a quality claim?
Send photographs and the SKU list within 14 days of delivery. If the deviation exceeds the tolerances on your approval sheet, we remake the affected pieces or issue a credit — the choice is yours. This applies to every order, not only the first.
Do you keep a sample of my order?
Yes. We retain a master sample and the signed approval sheet under your account number. Every reorder is graded against that sample, which is the mechanism that stops grade drift between shipments — the most common complaint buyers have when they switch suppliers each season.
What is your defect rate?
Internal QC rejection at final inspection runs in the low single digits as a percentage of pieces produced, and rejected pieces are reworked or scrapped rather than shipped. We do not report a "zero defect" figure because that would not be credible — what matters is that nothing outside the agreed tolerances leaves the building, and that claims are settled without argument.
Wholesale Account
How do I open a wholesale account?
Send your business details, the product categories you buy, your destination country and an indicative annual volume to the trade desk. We register the account, assign a named merchandiser and send a stock list with tier pricing. There is no fee and no minimum commitment to open an account. What we do ask for is a realistic indication of volume, because it determines which production slots we can reserve for you. Accounts are trade-only, and we do not sell single pieces at retail to consumers through this channel.
Do you offer exclusive territory rights?
For custom designs you commission, yes. We agree design exclusivity for a defined period and territory in writing on the order. For our own stock catalogue, exclusive territory rights are available only at committed annual volumes, because restricting a catalogue design in a market we already serve has a real cost. If territory exclusivity is important to your business model, propose a volume and a duration and we will respond with what is achievable. We would rather state a limit than agree to something we cannot enforce.
Who will be my contact, and how fast do you reply?
A named merchandiser is assigned to your account and remains your contact rather than a rotating sales inbox, and that is the same person who can answer technical questions about stone grades, metal weights and lead times. Standard reply time is within 12 working hours, Monday to Saturday. Costed quotations normally arrive within 24 working hours of a complete inquiry. If your inquiry is missing the specification fields that determine price, replies take longer because we have to ask.
Do you supply product photography and data with orders?
Yes. Every catalogued design has front, three-quarter and macro imagery at print resolution in sRGB, named to match the SKU so the files map directly into a product database. We also supply a US, EU, UK and JP ring size conversion table and care instructions in a publishable format. For orders above 200 pieces we will photograph your private-label version, including packaging, at no additional cost. Good imagery reduces returns and saves you a reshoot, which is why we treat it as part of the order rather than an extra.
Can I visit your factory or arrange a third-party audit?
Yes to both. Visits are scheduled with at least five working days of notice so we can arrange a production line for your category, and a half-day walkthrough covers stone intake, CAD, casting, setting, polishing, plating, QC and packing. Third-party inspection agencies are welcome and are not restricted in which areas they photograph. If you cannot travel, we offer a live video audit, a continuous walkthrough rather than a highlight reel, plus a second call focused on the QC station, scheduled to your own time zone.
Do I need an account to see prices?
No. List wholesale prices are published on every product page, with the quantity tiers shown below the price. An account is only needed for the trade price list, stock availability, scheduled replenishment and credit terms.
What do I get with a trade account?
The current stock list and price list, tiered pricing at your actual volumes, reserved production capacity for scheduled programmes, a named merchandiser, and stock photography in your private-label version for orders above 200 pieces.
Can I get exclusivity in my market?
For a defined territory and product range, yes — against a written annual volume commitment. Exclusivity is agreed in writing with a territory, a product scope and a volume floor, so both sides know exactly what is being promised.
Do you dropship for my customers?
We do not dropship under your brand directly to consumers, because that would put us in contact with your customer list and we do not think a manufacturer should sit between a brand and its customers. We do supply blind-shipped parcels to your own warehouse or 3PL, labelled and documented as you require.
How do I change my account contact or add team members?
Email the trade desk from your registered address and we will add or remove contacts. Each named contact gets the stock list and production updates, and we will copy whoever you nominate on quotations so nothing depends on a single inbox.
