Launching a Moissanite Trade-In and Upgrade Program

Holycome Editorial · September 29, 2026 · 12 min read

An upgrade program turns a past customer into a repeat buyer and a referral source—but moissanite trade-ins need honest stone grading and supplier buyback terms written into the rules.

A customer who bought a moissanite solitaire three years ago is your easiest next sale. She remembers your store, she knows your quality, and she has likely already started saving for an anniversary upgrade. An upgrade or trade-in program formalizes that impulse into a structured offer: bring back your original ring, apply a credit toward a larger stone or a new setting. Done honestly, the program produces repeat customers and referrals. Done sloppily, it produces disputes, fake stones, and chargebacks. The program is a loyalty tool first, a marketing hook second.

Why upgrades matter more for moissanite than for mined diamonds

Mined diamond retailers have long offered upgrade policies, but moissanite buyers have a different psychology. They chose the stone for value and conscience, and they are skeptical of any promise that sounds like a gimmick. A transparent upgrade program—clearly written, easy to understand—builds trust that a 30-percent-off coupon cannot. It also gives customers a reason to choose you over an online retailer who will never see their ring again. For a customer comparing two online listings at the same price, a lifetime upgrade offer is the tiebreaker.

Structure the credit in writing

Choose a defensible rule and print it. A common structure is 50 percent of the original ticket (not the original stone cost) credited toward any new purchase at least double the original price, valid at any anniversary within five years. Some retailers offer 70 percent credit but require the new purchase to be three times the original. Pick one, publish it, and apply it identically to every customer. Inconsistent upgrade policies are the fastest way to generate complaints. A customer who hears one number from a salesperson and another from the manager will never trust the store again.

Authenticate the trade-in stone

This is the trap. Customers bring back rings they bought elsewhere, and not every colorless stone is moissanite. Cubic zirconia, white sapphire, and even scratched diamond simulants get handed over expecting moissanite credit. Train your staff to check: moissanite shows double refraction under a loupe, and it tests off-the-charts on a standard diamond tester. Insist on the original sales receipt or the original grading card (GRA, IGI, or supplier certificate). If the stone cannot be authenticated, offer a token credit for the metal weight, not a moissanite upgrade. Build this rule into your program from day one; it protects you from the first fraudulent trade-in, and word gets around quickly when a store is a soft touch.

Partner with your supplier on buyback terms

Some wholesale suppliers support their retailers with stone buyback or exchange credit, especially for verified moissanite suppliers who stand behind their stones. Ask before you launch: will your supplier accept returned moissanite stock against future orders, or offer trade-in credit on loose stones? Knowing your own recovery cost lets you price the upgrade credit without losing money. If your supplier does not support trade-ins, the credit you offer comes out of your margin—size the program accordingly. A program that costs you $200 in margin per transaction but generates a $2,000 repeat sale is profitable; one that costs $200 per transaction and generates no repeat sale is not.

Legal and tax handling

A trade-in is a mixed transaction: you are taking used merchandise and selling new. In most US states, sales tax applies to the difference between the trade-in credit and the new purchase price, but rules vary. Have your accountant confirm the treatment in your state before you advertise the program. Keep a simple log: customer name, original SKU, credit amount, new SKU, date. That log protects you at audit and gives you data on how often the program is actually used. If only two customers a year redeem the program, it is a marketing cost, not a margin center—and you can adjust the messaging.

Market it at the right moment

Do not lead with the upgrade program in your social ads. Announce it to past customers first, by email, at their anniversary. In-store signage should target bridal buyers who are still deciding: "Loved it so much you want a bigger stone in five years? We've got you." The program closes the sale for the customer who is nervous about commitment. Pair the announcement with a free ring cleaning and prong check; the visit is the real goal, because a customer in the store is a customer who will eventually upgrade.

Watch the pitfalls

Never promise "full value" trade-in. Never accept a stone you cannot identify. Never let a staff member negotiate the credit off-book. The program's strength is predictability; every exception erodes it. Run the numbers for a year, then adjust the credit percentage based on actual redemption rates. A program that costs you margin but builds a loyal repeat base is a good investment. A program that loses money on every transaction is a charity, not a strategy.
