Negotiating Supplier Payment Terms as a New Wholesale Buyer

Holycome Editorial · September 29, 2026 · 12 min read

Suppliers want 100% T/T up front. Buyers want net 30. The middle ground is not magic — it is a deposit-and-trigger structure built over three orders.

Negotiating Supplier Payment Terms as a New Wholesale Buyer

Your first quote comes back with "100% T/T in advance." You do not have the cash to pay for 500 rings before they exist, and you do not have the relationship to ask for net 30 yet. This is the normal starting point, and almost every wholesale buyer negotiates out of it over the first two or three orders. The trick is not to argue about the percentage on call one — it is to build a payment structure that protects both sides until trust exists.

The standard terms, and where there is room

Chinese jewelry factories default to 30% deposit, 70% balance against copy of bill of lading. That is the market norm, not a take-it-or-leave-it offer. What is actually negotiable is what triggers the balance release. Default: pay against B/L copy. Better for you: pay against a pre-shipment inspection report. Even better on reorders: pay 30% deposit, 60% against inspection, 10% retained for seven days after delivery. These steps are covered alongside the instrument choice in TT vs escrow vs letter of credit. For first orders below USD 5,000, escrow platforms are cheaper than opening an LC — factor that in.

The three levers a new buyer can actually pull

Deposit size. 30% is standard on first orders; you can ask for 20% if you offer to pay by escrow (which the supplier prefers because it is still guaranteed). Balance trigger. Move from "against B/L copy" to "against third-party QC pass report" — this costs the supplier nothing and protects you. Reorder ladder. On the second order, ask for 30% deposit / 70% net 7 after delivery. On the third, ask for net 15. Each step requires the previous order to have closed cleanly. A supplier that offers net 30 on order one is either desperate or planning to substitute — treat both as red flags. Tie the reorder conversation to volume: see MOQ negotiation for small buyers.

What never to agree to as a new buyer

Do not agree to 100% up front on a first order from a supplier you have not audited. Do not agree to release balance before pre-shipment photos or a QC report. Do not agree to a single payment line with no milestones — once the money moves, your leverage moves with it. And do not pay the balance to a personal account that does not match the supplier's registered company name; that is both a dispute problem and a compliance one. Before the payment conversation, make sure the supplier itself has passed the basic vetting in the factory audit checklist. A clean payment structure sent to a trader is still a lost order.

How the first three orders should look

Order one: 30% deposit, 70% against third-party pre-shipment inspection report, escrow or TT with bank receipt. Order two: 30% deposit, 70% net 7 after delivery, on the same PO template. Order three: 30% deposit, 70% net 15, with a reorder price ladder locked in writing. By order four you can negotiate net 30 or seasonal open account if the volume justifies it. This ladder is standard across the industry — see the same structure applied to packaging minimums in custom packaging MOQ and branding minimums. For the document side, every milestone should be written on the PO per the first-order PO checklist.

How to phrase the first ask

A message that says can we do net 30 gets a reflex no. A message that says this is our first order, we are prepared to put 30% down and pay the balance against your pre-shipment inspection photos; on the second order we would like to discuss extending to net 7 gets a yes. You are offering a path, not a demand. For background on the instruments themselves, see letter of credit mechanics on Wikipedia; most small buyers never open one, but understanding why a supplier prefers escrow over open account helps you frame the ask. Each clean order earns the next step, and you restate the request in writing after delivery closes.

FAQ

Can a new buyer ask for net 30 on the first order?

Almost never. Suppliers extend open account only after two or three clean orders. Use the deposit-and-inspection structure instead; it is the same protection at lower relationship cost.

Is escrow safer than T/T for a first order?

For orders under roughly USD 10,000, yes — escrow holds the funds until you confirm receipt. Above that, an LC or a 30/70 TT with inspection gate is often cheaper.

What if the supplier refuses the inspection-gate trigger?

That is a signal they expect quality variation. Walk to a supplier that accepts pre-shipment inspection; the cost of one rejected shipment outweighs any price discount.

Do payment terms change with order size?

Yes. Larger orders unlock better balance triggers and longer net terms, but the deposit percentage usually stays at 20–30% across all sizes.

HOLYCOME works on a transparent 30% deposit / 70% against pre-shipment inspection structure, with net terms extended on reorders. Ask for our current terms sheet and first-order payment schedule.
